Job Summary
The Administrative Assistant is responsible for providing assistance to the Collection Services Group, with an emphasis on managing documents and communicating follow-up requests with clients and network attorneys. The Administrative Assistant will also perform additional tasks including, but not limited to, handling inbound and outbound mail related to collection matters, assisting in new file review/setup, closing completed files in accordance with internal retention protocols, and providing general assistance to other members of the Collection Services Group on an as-needed basis.
Essential Responsibilities
- Manage file handlers’ outstanding follow-ups with clients and network attorneys
- Communicate with clients and network attorneys by phone and email
- Organize and manage inbound and outbound mail related to collection matters
- Review, label, and organize documents related to mechanic’s liens, bond claims, UCCs, and unsecured collection matters
Competencies
- Basic proficiency in standard Microsoft Office applications (Word, Excel, Outlook)
- Ability to communicate effectively and efficiently, both by phone and by email
- Basic proficiency with PDF editor applications
Education, Experience, Certifications
- High school diploma or equivalent required
- Associate’s degree preferred
- 1 year of administrative experience, preferably in a law firm, legal department, or collections department
Physical and Mental Demands
- Frequent typing and use of keyboard/mouse
- Prolonged sitting while viewing a computer monitor
- Ability to communicate effectively via phone and email with colleagues and clients alike
- Near visual acuity
